SiteIQ is a British-built property inspection platform operated by INSITE IQ LTD, a company registered in England and Wales (company number 17335358), trading as SiteIQ. We take your privacy seriously and comply with the UK GDPR, the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations (PECR).

1. Who we are

2. What we collect

• Account data — name, email, password (hashed), workspace name, avatar, phone (optional).
• Inspection content — audio recordings, photographs, property addresses, transcribed notes, AI-generated repair tasks.
• Device data — push tokens, app version, OS version, error diagnostics.
• Billing metadata — subscription tier, purchase tokens (never full card numbers — payments handled entirely by Apple / Google / Stripe).
• Usage analytics — counts of inspections, feature toggles, aggregate performance metrics. No behavioural profiling.

3. How we use it

We process your data for the following purposes:

• Delivering the SiteIQ inspection workflow (legal basis: contract).
• Running AI transcription and defect analysis via Google Gemini and Anthropic Claude on your behalf (legal basis: contract).
• Sending transactional emails such as account verification, password reset and quote share links via Brevo (legal basis: contract).
• Improving product reliability with anonymous error logs (legal basis: legitimate interest).
• Complying with UK statutory obligations, e.g. Awaab’s Law reporting timelines (legal basis: legal obligation).

4. Where your data lives

Primary storage: MongoDB clusters hosted in EU-West (Ireland). Object storage for photographs: encrypted at rest in EU-West. AI processing (Gemini + Claude) is routed via Google Cloud and Anthropic. Where AI providers operate outside the UK, we rely on Standard Contractual Clauses (SCCs) and the UK International Data Transfer Addendum.

5. Who we share it with

• Anthropic (Claude 4.5 Sonnet) — for defect detection and quote generation.
• Google (Gemini 2.5 Pro) — for audio transcription.
• Brevo (Sendinblue SAS) — for transactional email delivery.
• Mapbox — for UK address autocomplete.
• Mapillary — for street-view property imagery.
• Crisp Chat — for in-app support conversations.
• Railway.app — marketing website hosting.
• Apple / Google — for in-app purchase processing.

We never sell your data. We never share inspection content with advertisers.

6. How long we keep it

• Active account data: retained until you delete your account.
• Inspection records: retained for 7 years (UK statutory letting-agent record-keeping).
• Backups: rotated on a 30-day cycle.
• Deleted account data: purged within 30 days of the deletion request.

7. Your rights (UK GDPR)

You have the right to:

• Access a copy of your data (subject access request).
• Correct any inaccurate data.
• Have your account and data erased.
• Restrict or object to processing.
• Port your data to another service.
• Withdraw consent for optional processing.

To exercise any of these rights, use the Danger Zone → Delete account control in the app, or email us at [email protected]. We respond within 30 days.

8. Security

We use TLS 1.3 in transit, AES-256 encryption at rest, bcrypt password hashing, rotating JWTs, and biometric device unlock. Access to production systems is limited to named engineers with 2FA and audit logging.

9. Children

SiteIQ is a professional B2B tool. We do not knowingly collect data from anyone under 18. If you believe a child has created an account, please contact us and we will delete it.

10. Cookies (website only)

This marketing website does not use tracking cookies. We use a single essential cookie for CSRF protection on the contact form. The mobile app does not use cookies.

11. Changes to this policy

We’ll notify you in-app of any material changes. Non-material changes are reflected here with a new “Last updated” date.
